Workday-HCM: Post Job and Update Job Posting

Overview:

This document explains how Primary Recruiters, Recruiters, Recruiting Administrators and Recruiting Coordinators can post jobs and update jobs in Workday.

The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.

Post Job

  1. Enter Post Job in the Search bar and select the task.

  2. The Post Job pop up displays.

  3. Use the Prompt to choose a Job Requisition to post.

  1. Select OK.

  2. The Post Job Page displays.

  3. Use the Job Posting Site Prompt and choose your institutions external career site.

Notes:

  • The prompt displays options allowing for the job to be posted externally or internally.

  • Recruiters can see all careers sites but should only choose the external career site for which the job requisition is recruiting for.

  1. Select OK or to preview the job and then select the Preview Job Posting Checkbox to preview the posting.

    1. If you choose to preview the Job Posting, complete the following steps:

      1. After checking Preview Job Posting and selecting OK, the Preview Job Posting page displays.

      2. Review the Job Posting and select OK to continue.

Notes:

  • If the Job Requisition needs to be edited before posting, select Edit Job Requisition.

  • The option to Edit Job Requisition while posting a job is only available if you preview the job posting.

  1. The Post Job page displays.

  2. Add the Start Date and End Date using the Calendar.

Note: You may add or remove a Job Posting site from the table by selecting move row.

  1. (Optional) Select Add to add the job posting to multiple sites.

Note: In most cases, job postings are posted to both the external and internal career sites.

  1. Select Submit.

Notes:

  • Once posted, the hiring manager and search committee will receive a notification.

  • Select Save for Later to continue making edits to the Job Posting at a later time. Once you are ready to resume with posting the job, the task can be found under My Tasks.

Update Job Posting

Notes:

  • This action only allows Recruiters and Primary Recruiters to update the Job End Date.

  • To update the Job content, see the Update Job Posting Content section in this job aid.

 

  1. Enter Update Job Posting in the Search bar and select the task.

  2. The Update Job Posting pop up displays.

  3. Select the Update Job Posting Prompt to choose a Job Posting to update.

  1. Select OK.

  2. The Update Job Posting page displays.

  3. (Optional) Use the Calendar to update the End Date for the Job Posting.

Note: The start date remains unchanged.

  1. Select Submit.

Note: You will receive a notification if it is rescinded.

Update Job Posting Content

  1. Enter View Job Requisition in the Search bar and select the report.

  2. The View Job Requisition pop up displays.

  3. Use the Prompt to select the Job Requisition Name.

  1. Select OK.

  2. The Job Details page displays.

  3. Select Related Actions next to the Job Posting Name.

  4. Hover over Job Change and select Edit Job Requisition from the Related Actions menu.

  1. The Edit Job Requisition screen displays.

  2. Select Pencil to complete the following fields under Recruiting Details section to begin editing information.

    1. Reason: Select the Prompt to choose a Reason for the Job Requisition.

    2. Job Description Summary: Enter the Job Description Summary in the textbox.

    3. Job Description: Enter the Job Description in the textbox.

    4. Additional Job Description: Enter the Additional Job Description in the textbox.

    5. Select Save to save changes made in the section.

  3. Select Submit.

Note: Once the Job requisition has been edited and submitted, Workday will send a task to the Primary Recruiter to unpost and repost the job.

  1. The Job Details Page displays.

  2. Select Post Job under the Job Postings tab.

  3. The Post Job page displays.

  4. Use the prompt to select the Job Posting Site.

  1. Select OK, or to preview the job, select the Preview Job Posting Checkbox to preview the posting.

    1. If you preview the Job Posting, complete the following steps:

      1. After checking Preview Job Posting and selecting OK, the Preview Job Posting page displays.

      2. Review the Job Posting and select OK to continue.

  2. Select Submit.
