Workday-HCM: Refer a Candidate

Overview:

This document will cover the process to refer a candidate to an open position. There are three types of referrals supported in Workday:

  • Direct Referral: Created using the Refer a Candidate task or Create a Referral task.

  • Self-Identified Referral (Endorsement): External candidates may self-identify as a referral by selecting the 'I know someone who works here' option under How Did You Hear About Us section of their job application.

Recommendations:

  • The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.

Refer a Candidate

Note:

  • Workday will automatically notify a candidate when an employee refers them for a job. This notification can include a link to the job posting that the candidate can use to apply to the job.

 

  1. Enter Refer a Candidate in the search bar and select the task.

  2. The Refer a Candidate page displays.

  3. Confirm candidate’s country in the Country Prompt in the Referral Details section.

Note: This auto populates to the United States of America.

  1. Fill in the following fields under the Name section:

    1. First Name: Enter the candidate’s First Name.

    2. Last Name: Enter the candidate's Last Name.

Note: This is required.

  1. Complete the Contact Information section.

    1. (Optional) Phone Device Type: use the Prompt to select the Phone Device Type.

    2. (Optional) Country Phone Code: Use the Prompt to select the Country Phone Code.

    3. (Optional) Phone Number: Enter the candidate’s phone number.

    4. Email: Enter the candidate’s email address.

Note: This is the primary contact information for the referral.

  1. Select the current job positing(s) for the referral using the Jobs prompt in the Job Details section.

Note: You can search by job title, location, manager, or job requisition ID.

  1. Complete the Relationship Details section.

    1. Select your connection to the candidate in the Relationship Prompt.

    2. (Optional) Add a comment in the Comments text box to provide more information about the context of your relationship.

  1. (Optional) Attach the candidate’s resume or other supporting documents by dropping in files or selecting Select files.

  2. Select Submit.

Note: Notifications will be sent regarding the referral to both the employee who conducted the referral and the external candidate.
