Microsoft Teams Phone Usage Guidelines

Microsoft Teams Phone Usage Guidelines

Salisbury University utilizes Microsoft Teams as its primary phone and communication platform. This article outlines expectations for using Teams on university-issued devices and personal mobile devices, including important guidance for nonexempt employees.

Approved Ways to Use Teams Phone

Faculty and staff should primarily use Teams on:

  • SU-issued laptops (recommended and standard use)

  • SU-issued mobile devices (if assigned)

These devices are fully supported and configured to provide the best experience for Teams calling and messaging.

Use of Teams on Personal Mobile Devices

Employees may install Teams on their personal mobile device for convenience, but this is:

  • Completely optional

  • Not required for job performance

  • Not expected unless a stipend or university-issued phone is provided

Work Hours Expectations (Nonexempt Employees)

Nonexempt employees:

  • Are not required to monitor or respond to Teams messages or calls outside of scheduled working hours

  • Should only use Teams during their designated work hours

  • Should not feel obligated to install or use Teams on a personal device

If Teams is installed on a personal device, employees are encouraged to configure notifications to align with their work schedule.

Managing Notifications with Quiet Hours

Teams provides built-in Quiet Hours settings to help manage notifications outside of working hours.

When enabled, Quiet Hours will silence notifications on your mobile device during specified times or days, helping reduce interruptions outside of work hours.

How to Configure Quiet Hours: Recommended Android and Apple Teams notification settings

  • Notifications will be muted during these times but still visible when you open the app

  • Settings can be customized to match your work schedule

Best Practices

  • Use Teams primarily on your SU-issued laptop or provided cell phone.

  • Install Teams on a personal phone only for convenience-not required unless paid as part of a stipend or SU provided.

  • Configure Quiet Hours to prevent after-hours notifications

  • Respect work/life boundaries—especially for nonexempt roles

Summary

  • Teams is the university’s standard phone system

  • Laptop use is expected; mobile use is optional

  • Personal device usage is not required

  • Nonexempt employees should only engage during working hours

  • Quiet Hours can help ensure compliance and minimize after-hours interruptions
