HCM: Resignation-Manager

Overview:

This document explains how a manager can process a resignation from an employee. Resignation is part of the Termination process since Termination is any separation, whether voluntary or involuntary.

  • The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.

Resign An Employee

Notes:

  • Please refer to your employee handbook for any resignation policies for your institution.
  • If the worker has an additional job, end the additional job first before initiating the resignation. Contact the Human Resources Department to review employee specifics with their resignation/termination.


1.  On the Workday home page, select the My Team Management application under View All Apps.

2.  Locate My Team to find the employee for whom you will process a resignation.

3.  Hover over the employee name until Related Actions appear.

4.  Hover over the Job Change sub-menu under Actions.

5.  Select Terminate Employee.

6.  Select Pencil for the Reason section.

7.  Select the Primary Reason Prompt and choose from the primary reason codes, which denote rehire eligibility.

Note: Primary reason codes: Eligible for rehire, Not eligible for rehire at institution, or Not eligible for rehire at any state institution.

8.  Select the Secondary Reason Prompt, choose Secondary Voluntary, and then the option that further explains the reason for the resignation.

Notes:

    • Refer to your institution policies regarding reason codes for resignation.
    • Select only primary reasons for the primary reason prompt and only secondary reasons for the secondary reason prompt. An error will occur if other selections are made.

9.  Select the Pencil to edit the Details section.

10.  Choose the Termination Date.

Note: This date is the last day of work for the employee.

11.  Select the Last Day Worked.

Note: This date will default to termination date unless otherwise specified.

12.  Select the Pay Through Date.

Note: This date will default to termination date unless otherwise specified.

13.  Select the Resignation date.

Note: This is the date that the employee gave their notice.

14.  (Optional) Select the Pencil for Eligibility and under the Eligibility prompt, select yes or no.

15.  (Optional) Select the Pencil for Position Detail and select the Prompt to provide question answer.

16.  (Optional) Attach any documentation or add comments regarding the resignation.

17.  Select Submit.

Note: Once submitted, the Termination business process will initiate, and further steps will need to be completed. See Termination Job Aid for more information.
