HCM: Personal Information Change

Overview:

This document explains how employees can update their Personal Information in Workday. Personal Information includes biological sex, date of birth, place of birth, maritial status, race/ethnicity, citizenship status, pronoun, and military service.

 

The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.

Change Personal Information

  1. Select the Personal Information application under the Menu.

Note: Refer to the Getting Started in Workday job aid to learn how to add applications to the Menu.

  1. The Personal Information page displays.

  2. Select Personal Information under the Change Column.

  1. Select Pencil to edit existing personal information in any section based on personal information that has changed.

Note: Select Add in a section to enter information if the section does not yet have information.

  1. Fill in the fields with new or updated personal information.

Notes:

  • Required fields must be completed.

  • The screenshot shows an example of changing Marital Status as personal information being changed.

  • Select Undo to revert changes in a section.

  1. The Race/Ethnicity section is required and must contain information.

    1. Select Pencil to edit this section.

    2. Select or change Race/Ethnicity.

Note: This is a multi-select field. You may select a maximum of five choices.

  1. Select Save to save changes in a section.

  2. Attach any supporting documentation by dropping in files or choosing Select files.

Note: Supporting documentation is required for Gender, Date of Birth, and Citizenship Status changes.

a. Select the Category Prompt and choose Personal Information to attach supporting documentation.

b. Select Upload to complete attaching additional documentation.

  1. Select Submit when changes are complete.

Notes:

  • Select Save for Later if additional changes will be made at a later time prior to selecting submit.

  • Personal Information changes will go through an approval process with Human Resources. You will receive a notification when the review is completed or if changes are needed.
