Attendance Reports and Outlook Client Email Conflict

ID&D KB How-to Guide

Working together to enhance teaching & learning. If you need additional assistance, please reach out to the ID&D team.

When a faculty member runs the Attendance (Roll Call) report from MyClasses, an email is sent to the email address that you add to the report window. The default email setting will be your SU email:

Export Attendance Data menu with the option to filer between start and end dates or a student ID, a field to enter an email address to send the report to, and a Run Report button.

When you run the report, you will receive a confirmation message that states "Thank you, your report should arrive in your inbox shortly."

The error arises if you try to click the link to download the report from the Roll Call Attendance Report email within the Outlook Desktop Client using a Salisbury University computer:

The link will be run through SU's security processes and the link URL is too long to be validated through this security process. The error message will read, "The page that you are trying to access cannot be loaded. Due to an internal error, this web page could not be loaded. We recommend that you close this page. Microsoft Defender for Office 365 has encountered an error. Learn more about Microsoft Defender for Office 365."

This error message cannot be "fixed" as it the link validation software is a security requirement for SU. Therefore, to download the report, you should access your Roll Call Attendance report one of the following ways:

Solutions:

  1. Use Outlook on the web to access the URL. If you access the email through the web browser, when you click on the link, the report will automatically be downloaded, as the security system in place for checking links in the desktop version of Outlook is not applied to the web version.

  2. Copy and paste the text of the URL from the desktop Outlook Client. If you cannot or prefer not to use the web version of outlook to click the link from the Roll Call Attendance email, you can still use the desktop client to access the report. However, instead of clicking the link, you will highlight and copy the full link by right clicking (on a PC) or Control-click (on a Mac) and copying the URL:

Then paste the link into the browser and press enter or select the "paste and go" option to download the report:
