Due to the Coronavirus Pandemic and pricing model changes for Panopto, ID&D in consultation with Technology Support Services and the Faculty Senate's Learning Resources Committee determined a retention policy in accordance to student record-retentions and faculty instructional needs. Video recordings will be deleted from Panopto after 5 years of the most recent view.

Examples:

  • A recording created on Friday, April 23, 2013 with 0 views in the past 5 years will be marked for deletion.
  • An online lecture recording created in Fall 2015 with 0 views in the past 5 years will be marked for deletion.
  • A student video project created in Fall 2015 that was viewed only during the Fall 2015 semester will be marked for deletion.
  • A recording of a campus event that with 0 views in the past 5 years will be marked for deletion.
  • An online lecture that has been reused in multiple semesters that has been viewed within the past 5 years will remain on the server.

Phase 1: Summer 2022 - December 2022

ID&D obtains a monthly audit of video recordings identified for deletion. Recordings will only be deleted based on confirmation by ID&D team members. Starting June 1, 2022, ID&D will communicate directly with faculty and staff via email identifying the videos (and folders in which they are stored) that are scheduled for deletion. Individuals will be given the following options:

  1. View the recording to maintain the recording on the server.
  2. Download the recording for safekeeping.
  3. Delete the Panopto Recording yourself or reply to ID&D to confirm the recording can be deleted from the server.

Phase 2: January 2023

Automatic deletion of recordings will occur for any recording that has not be viewed with 5 years. Deleted recordings will move to the Recycle Bin in Panopto for 90 days. Individuals can recover a Panopto video if needed within those 90 days.
