Workday - Icons Overview

Overview:

This document defines the icons users frequently interact with in Workday.

The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.


Workday Icons: Home Page


Menu – Location: Top left corner.
Access your apps and shortcuts from anywhere in Workday.


Home Location: Top left corner.
Takes you to your Workday Home page (the page that appears when you log in) from anywhere in Workday.


Notification Location: Upper right corner next to the Inbox icon.
Alerts you to informational items related to Workday. Notification items may not require your action; they inform you of processes in progress or completed related to
you or your team members. Notifications in Workday cannot be deleted. To remove Notifications from the active list, select the blue circle to the right of the notification.


My Tasks Location: Upper right corner of Workday window.
View and respond to items that need action taken or review archive items. The orange circle badge indicates the number of unread items in your inbox.


Profile Location: Upper right corner of the page. After go-live, this will display your photo next to your name and employee ID.
Left click/select displays links to your account, home page, my reports, favorites, and more. Right click/select allows you to open a new tab, copy a URL or copy text.

Other Workday Icons


Calendar Location: On the left of any date-related data entry field. Select to choose a date.


Prompt – Location: On the left of data entry fields. Select to display a drop-down list of data entry values.


Pencil Location: In the upper right corner of any editable section of a task/process. Select to edit the information in a field.


Undo – Location: In the upper right corner of any editable section of a Workday task. Select to undo changes.


Save – Location: In the upper right corner of any editable section of a Workday task. Select to save changes.



Actions Location: On the right of task/process names and below profile information when on a Worker (faculty/staff/student worker) Profile page.
Displays the Actions menu for an object (e.g., Worker or report data); available only if you have permission to perform additional actions on that object.


Related Actions – Location: Hover over the right edge of blue text to make visible. Performs the same functions as the Actions icon described above.


Required – Location: To the right of field description text/to the left of field to enter information.


Add Row Location: Top left of a table. Select to add a row to a table.


Remove Row Location: Top left of a table. Select to remove a row from a table.


Check Box Location: Varies.
Check or uncheck to confirm or select information.


Gear Location: Varies; typically in the top left or right corner of a page, dashboard, or report.
Select to configure Workday elements, reports, and dashboards.


Chart Location: Varies; typically in the upper right corner of a report. Select to configure the type of chart in view.


Print Location: Varies.
Select to view the page as a printable PDF file.


View Printable Version (PDF) Location: Varies; typically in the upper right corner of a report.
Select to export and save a report to a PDF file.


Export to Excel – Location: Varies. Select to view the page as an Excel file.


Export to Worksheets – Location: Varies; typically in the upper right corner of a report.
Select to export a report to Worksheets for further data analysis.


Change Selection Location: Next to a report name.
Select to change information in the report prompts to run the report again with different data.


Filter Location: Varies.
Used to limit the data visible in a report. Select this icon to filter data.


Configure Grid Columns Location: Varies.
Select to view and edit grid preferences, freeze columns, or rearrange columns.


Full-Screen Toggle Location: Varies.
Select to expand the current grid to its maximum size. Select again to reduce size.


(On Leave) after an individual's name in Workday indicates the individual is on an extended absence from work. This label does not appear for individuals who are on short-term sick leave or vacation.
