Workday-FIN: Procurement Events
Overview:
This document explains how the Accounting Operations Lead and Procurement Operations Lead can conduct tasks such as reopen procurement document events such as Mass Reopen Procurement Documents, Reopen Purchase Orders, Reopen Requisitions, and Procurement Roll Forward. Accounting Operations Lead, Buyer, Procurement Data Entry Specialist, Procurement Operations Lead, and Supplier Contract Specialist can Mass Close Procurement Documents. A Buyer, Services Coordinator, and Supplier Contract Specialist can Mass Change Requisition Requesters.
The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.

Mass Reopen Procurement Documents
Enter Mass Reopen Procurement Documents in the Search bar and select the task.
The Mass Reopen Procurement Documents page displays.
Fill in the following fields:
Request Name: enter in the Request Name.
Note: It may be useful to add your initials and the current date in the Request Name so you can easily search for the request later on.
Company or Company Hierarchy: use the Prompt to select Company or Company Hierarchy.
Document Type: use the Prompt to select Document Type.
Note: Based on the Document Type selection, the fields under Selection Criteria may differ.
f. (Optional) Fill in the following fields under the Selection Criteria.
Select OK.
The Select Business Documents page displays.
Memo: enter the Memo.
In the table under Selection criteria section, select the checkbox for any applicable documents.
Select OK.
Note: Once submitted, the Business Document will reopen.
Reopen Purchase Order
Enter the specific Purchase Order name in the Search bar and select the Purchase Order. Note: If you do not know the Purchase Order, use the Find Purchase Orders report.
The View Purchase Order page displays.
Hover over the invoice number and select Related Actions.
Hover over Purchase Order under Actions and choose Reopen.
The Select Business Documents page displays.
Select the documents using the checkbox.
Select OK.
Reopen Requisition
Enter Find Requisitions in the Search bar and select the report.
The Find Requisitions pop up displays.
(Optional) Fill in the following fields as necessary to narrow down the Requisitions found in the report.
Exclude Close: uncheck Exclude Close.
Select OK.
The Find Requisitions page displays.
Review the requisitions table.
Select Related Actions by hovering over the magnifying glass of the requisition.
Note: To View Requisition itself, select the magnifying glass.
Hover over Requisition under Actions and select Reopen.
The Select Business Documents page displays.
Select the documents using the checkbox.
Select OK.
Mass Change Requisition Requester
Enter Mass Change Requisition Requester in the Search bar on the Workday home page and select the task.
The Mass Change Requisition Requester pop-up displays.
Fill in the following fields:
Request Name: enter a Request Name.
Note: It may be useful to add your initials and the current date in the Request Name so you can easily search for the request later on.
Company: use the Prompt to select the Company.
From Requester: use the Prompt to select the From Requester.
Document Date On or After: automatically populates; use the Calendar to select the Document Date On or After.
Document Date On or Before: automatically populates; use the Calendar to select the Document Date On or Before.
Select OK.
The Mass Change Requisition Requester page displays.
To Requester: use the Prompt to select the To Requester.
Memo: enter a Memo.
Select the documents using the checkbox.
Select Submit.
Note: You will receive a notification if the mass change requisition requester is denied.
Procurement Mass Close
Enter Mass Close Procurement Documents in the Search bar and select the task.
The Mass Close Procurement Documents page displays.
Fill in the following fields:
Request Name: enter the Request Name.
Note: It may be useful to use your initials and the current date in the Request Name so you can easily search for it later on.
b. Company or Company Hierarchy: use the Prompt to select Company or Company Hierarchy.
c. Document Type: use the Prompt to select Document Type.
Notes: Based on the Document Type selection, the fields under Selection Criteria may differ.
d. (Optional) Accounting Date Override: use the Calendar to select the Accounting Date Override
if applicable.
e. (Optional) Fill in any applicable fields under the Selection Criteria section.
Select OK.
The Select Documents for Mass Close page displays.
In the table under Procurements Documents, select the Check Box(s) for any applicable documents.
Select OK.
Procurement Roll Forward
Enter Roll Forward Procurement Documents in the Search bar and select the task.
The Roll Forward Procurement Documents pop up displays.
Fill in the following fields:
Request Name: enter the Request Name.
Note: It may be useful to add your initials and the current date in the Request Name so you can easily search for the request later.
Company or Company Hierarchy: use the Prompt to select Company or Company Hierarchy.
(Optional) Roll Forward Source Fiscal Year: use the Prompt to select Fiscal Year.
Procurement Document Type: use the Prompt to select Document Type.
Notes:
Based on the Procurement Document Type selection, additional fields may automatically populate.
You may add additional search criteria or select OK to search all.
Select OK.
The Select Documents for Year End Roll Forward page displays.
Fill in the following fields under General Information:
Memo: enter a Memo.
Accounting Date for Liquidation: use the Calendar to select the Accounting Date for Liquidation.
Accounting Date for Roll Forward: use the Calendar to select the Accounting Date for Roll Forward.
Budget Date for Roll Forward: use the Calendar to select the Budget Date for Roll Forward.
Select the documents using the checkbox.
Select Submit.
Note: You will receive a notification indicating if it was approved, sent back or denied.
