HCM: Employee Onboarding in Workday

Overview:

This document explains how HR and Managers can personalize data populated in their new hire's onboarding dashboard in Workday.

The recommended browser for accessing Workday is Google Chrome. However, Mozilla Firefox and Apple Safari may also be used.

Onboarding Setup

Notes:

  • The Onboarding Setup task will appear in the Manger’s My Tasks once all the approvals for Hire are completed.

  • If the Manager does not complete the step within three days, the task will auto-submit and send the onboarding task to the New Hire with defaulted information.

 

  1. In My Tasks under All Items, select the Onboarding Setup for Hire item.

  2. Enter a Welcome Message from the manager.

  3. Complete the following fields under People to Meet:

    1. Select People: Use the Prompt to select suggested co-workers in the New Hire’s

department to meet.

Notes:

  • Co-workers from the New Hire’s department will default in this section.

  • You can add additional people or remove all people from this section.

b. Notify: Select the check box to notify the Manager that the New Hire is in the process of completing Onboarding.

c. (Optional) Notification Subject: Enter the new Notification Subject.

d. (Optional) Notification Message: Enter the new Notification Message.

 

  1. Use the Prompt to select an Employee.

Notes:

  • Selected People are Employees who the new hire should reach out to as helpful contacts.

  • You can add additional people or remove all people from this section.

  • HR Partner(s) or Academic HR Partner(s) will default in this section.

  1. (Optional) Select the check box.

Note: Selecting the checkbox will notify the selected Helpful Contacts that the New Hire is in the process of completing Onboarding and may reach out for assistance.

  1. Select Submit.

Notes:

  • Select Save for Later to complete Onboarding Setup at a later time.

  • If the Onboarding Setup is submitted without contacts listed, that section does not appear in the Onboarding Dashboard of the new hire.

  • The Employees listed under Helpful Contacts and People to Meet will receive a Workday notification unless you uncheck the Notify checkbox.

  • The new hire will receive a Workday Inbox item to complete their Onboarding tasks (e.g., Complete Form I-9).

RPT077 HCM Onboarding Status Summary by Worker and Sup Org

Note: The report is accessible by Managers, HR, and Department Initiators to help keep track of the New Hired Onboarding activities in Workday.

  1. Enter RPT077 HCM Onboarding Status Summary by Worker and Sup Org in the Search bar and select the report.

  2. The RPT077 HCM Onboarding Status Summary by Worker and Sup Org report pop-up displays.

  3. Fill in the following fields:

    1. (Optional) Supervisory Organization: Use the Prompt to select a Supervisory Organization.

    2. (Optional) Include Subordinate Organizations: Select the checkbox to Include Subordinate Organizations.

  1. Select OK.

  2. The RPT077 HCM Onboarding Status Summary - By Worker and Sup Org page displays.

  3. View the In Progress column to view onboarding tasks that are in progress by a New Hire.

  4. View the In Progress For more than 1 Day column to view outstanding onboarding tasks by a New Hire.

  5. View the Completed column to view completed onboarding tasks by a New Hire.
